Logging In
Law firms are required to log into CounselLink via Multi-Factor Authentication (MFA). You will be prompted to provide an email address or phone number to verify the login.

Enter your username and password.

Click Sign In. A 2-Factor Authentication page will display.
- Enter in your email address and, if necessary, a mobile phone number.
- Select which default method of verification you will use. This will be where the code is sent upon subsequent logins.

Click Next. A page displays prompting you for the code.
- Enter the code from your email or text message. The code will expire after a ten minute period.
- Optional: Click Remember this Device to skip this step for 30 days. After the 30 days elapse, you will be required to complete 2-Factor Authentication again.
- Optional: If you do not receive a code, click Resend Code to send the code again.
- Click Verify.
Finding Your Profile
Your profile contains information specific to your account. You can use it to update your user information and reset or recover your password.
You can access your profile using the following methods:

Click the My Profile option under the user name entry.

From the Profiles panel on the homepage, click your name in the Individual list.
Changing Your Login ID or Password
A password is generated automatically when a new CounselLink user is registered. Any user can change this password or future passwords at any time. When a password is changed, the Login ID can also be changed.

Click Change Password in the QuickLinks section of My Profile.
The Update Login Information page displays.
- In the Login Id field, type in a new Login ID if you wish to change it. Your current ID is displayed in the field.
- Enter your current password in the Current Password field.
- Enter a new password in the New Password field.
- Re-enter your new password in the Confirm Password field.
- Select a secret question from the Secret Question drop-down list. This question will be asked if you need to retrieve your password later.
- Enter the answer to your secret question in the Answer field.
- Memorize or write down your ID, password, and secret answer.
- Click the Save button to complete the task.
Updating My Profile
You may need to update your profile if you have changed your name, main office, or preferred currency. Any user can update their own profile, however your roles determine which fields are available for updating. To update role assignments, please contact your CounselLink Admin.

Click My Profile from the drop-down under your name in the top-right corner of the screen.

Click Edit to change your profile information.

Change any fields as necessary. Instructions on specific fields are below.
Field Description Prefix
Choose a courtesy title such as Mr. or Ms.
First Name*
Enter given name.
Middle Initial
Enter middle initial.
Last Name*
Enter surname.
Suffix
Enter a professional or generational suffix if desired.
Title*
Choose the title that best describes your position in the office.
Veteran Select if a military veteran or not. Years of Service If you selected Yes for the Veteran option, enter how many years of service were provided. Email*
Enter the address CounselLink should use for or system notifications and for multi-factor authentication during login.
Race Select a race option. If you don't wish to disclose, select Decline to State. Gender Select a gender. If you don't wish to disclose, select Decline to State. LGBT Select Yes or No if you identify in the LGBT group. If you don't wish to disclose, select Decline to State. Disabled Select Yes or No if you have a disability. If you don't wish to disclose, select Decline to State. Date of Birth Enter your date of birth. ISLN Enter a link to your Martindale-Hubbell profile if applicable. Main Office*
Select the office you are most associated with. Some application settings are inherited from the chosen office.
Preferred Currency*
Select the currency you prefer. This option determines the display of monetary values and becomes the default currency when creating items, such as invoices, in CounselLink.
Receive Message Center Emails
At this time, this feature is set to NO for all users.
Document Attachments Set preferences for access Related to Matter, Related to Invoice, and Related to "Other." Calendar Events Select preferences for Calendar events to be copied to your Outlook. Timekeeper Level* Select your timekeeper level from the drop-down list. Primary Timekeeper ID* Enter the ID for the Primary Timekeeper. Additional Timekeeper ID Add an additional Timekeeper ID if needed. Use Address of
Choose the office where you receive mail. This field is only editable if you have an Admin or Partner role.
Country, Address, City, State, Zip Code
Enter the address where you receive mail.
Phone
Enter the office phone number.
Mobile Enter your mobile phone number. If selected, this is also the number used for multi-factor authentication during login.
Fax
Enter the fax phone number.

Update the Regional Settings to specify your preference
for dates, times, number and currency formats. The settings have been
pre-set to US standards.
Field Description Short Date Format
From the drop-down list, choose the appearance of the shorter date used in invoices and searches. Example 07-21-2013
Long Date Format
From the drop-down list, choose the appearance of the longer date used in invoices and searches. Example July 21, 2013
Digits in a Group
Select how many numbers are grouped together in large numbers.
Digit Grouping Symbol
Choose the symbol to be used to separate number groupings.
Decimal Symbol
Define the symbol used between the whole and fractional number.
Example of Negative Number
Verify that the appearance of the number is what you want.
Time Format
Set preferences for 12 or 24 hour clock, and preferences for period or semi-colon separator.
Time Zone
Choose the time zone. Corporate or divisions can have their own settings that will apply to all if not already changed by the user.
Negative Currency Format
Sets option for use of parentheses or negative sign to indicate negative numbers.
Currency Symbol Placement
Defines option for position of the currency symbol.
Display Currency ISO Code
Choose to display the ISO code or keep it hidden. USD is the code for US.
Example of Negative Currency
Verify that the appearance of the currency is what you want.
- Click Save to complete your changes.
Changing a Forgotten Password
If you forget your password, you can obtain another one.

Click Forgot Password on the CounselLink Login page. The Forgot Your Password? window displays.

Enter your Login ID in the Username field.
If you don't remember your user name, click the Forgot Username link. You will be prompted to enter the email associated with the user, which will then send the user name to that email address.

Click Next. The Here's your secret question window displays.
- Enter the answer to your secret question in the field.
- Click Next.
- Click Return to Sign in Page.
- Check your email inbox for a message from CounselLink.
- If you receive an email, click on the CounselLink Login link to be taken to the CounselLink Reset Password page.
- If you do not receive an email within a few minutes, it is possible that CounselLink does not have a record of your email address. Please call Customer Support.
- Complete your new password and profile information.
- Click Save.
- If a mistake is made, an error message will occur at the top of the page. Follow the instructions in the message.
- If no errors are found, you will be returned to the login page.
Unlocking a Locked User Profile
When a user has entered an incorrect password more than three times, the Login Attempts Exceeded page will display.
CounselLink remembers every unsuccessful login, even those from weeks ago. So when a user has reached the total limit of three password errors, it will lock for 15 minutes. A successful login resets the count of unsuccessful attempts.
- Read the instructions on the Lockout Exceeded page.
- Close all browser windows.
- Wait 15 minutes.
- Reopen the browser and go to the CounselLink Log In page.
- Type in correct ID and password.
- If the login does not work, there are two options:
- Contact your CounselLink Admin, who can request a new password for your account.
- If you are not sure of your login ID, security question, or email address, call Customer Support.
Setting My Number Display
You can customize your display of the time, date, numbers, and currency. When you change the preferences in My Profile, they will affect your display only.
Any setting change made at the firm or office will be inherited by all users, unless the user has already changed that specific setting. Some fields are restricted to the Admin.
- Click your name in the top-right corner of the screen of the homepage.
- Click My Profile to change your profile information.
- Click the Edit button.

Change any options in the Regional Settings section.
Field Description Short Date Format Choose the appearance of the shorter date used throughout CounselLink, including invoice dates and search dates. Example, 7-21-2013. Decimal Symbol Define the symbol used between the integral and fractional number. Time Format Set preferences for 12 or 24 hour clock and the symbol used to separate, the period or semi-colon. Time Zone Choose the time zone for your corporation. At this time, only one choice is available for a law firm. Negative Currency Format Set option for use of parenthesis or negative sign to indicate numbers less than zero. Currency Symbol Placement Set the position of the currency symbol to before or after the numbers. Display Currency ISO Code Choose to display the currency's typical abbreviation, or keep it hidden. Example $100.00 USD. - Click Save to retain your settings.
Setting My Preferred Currency
Each user can customize the display of any monetary item. Once set, your preferred currency will be the default currency used to make offers or create invoices. If items appear in another currency, you have the option of selecting the item in your preferred currency. Any user can update their own profile. Some fields are restricted to the Admin.
- Click your name in the top-right corner of the screen.
- Click My Profile to change your profile information.
- Click Edit under your user name.

Select your preferred currency in the currency in the Preferred Currency field. This option determines the display of monetary values and is the default currency when you create items.
- Click Save to complete the task.
Managing Email Notifications
You can manage which notifications are sent to the email address associated with your User ID. You can turn them off or back on again, depending on your preferences. The default option is set to 'Yes' for all notifications.
Changes made to email notifications under your User Profile apply only to your User ID.
- Click My Profile from the drop-down under your name in the top-right corner of the screen.

Click Manage Email Notification from under the QuickLinks section.
The Manage Email Notifications page displays.
Notifications are dependent on your roles. Some options in these screenshots may not be available for your user ID.
- Click the carat icon next to section to expand it.

Make any edits under the Setting column as necessary.
Click on an item in the Email Name column to see a preview of that email notification.
- Click Save.
Setting Your Start Page
You can set a specific feature page as your Start Page, the page that will display upon your login to CounselLink. For example, if you navigate to the Matters Search page consistently upon logging in, you may consider setting as your Start Page.
Click the home icon next to a page title to toggle it on. You can click it again to reset. The dashboard home page is set as your Start Page by default, and it will resume as your Start Page if you remove one and do not set another.
Not all search pages are currently available to set as your Start Page.
